A warehouse handoff should tell the next person exactly what left, what came back, and what can be rented again. Use the booking as the shared record and assign someone to close each step.
Before pickup: stage the order
- Confirm the pickup window and the latest approved quantities.
- Pick by SKU or asset ID and label the staging area with the booking reference.
- Count small parts separately. Check that tents have their stakes, stands have their hardware, and cases contain the correct cables.
- Record substitutions and shortages before the customer arrives.
At pickup: record what actually leaves
Compare the staged order with the booking, then record the actual quantities and any existing damage. If the customer takes only part of the order, record the remaining items separately so the next shift knows what is still onsite.
At return: count, inspect, and sort
- Match the return to the original booking and count against what left.
- Record partial returns, missing parts, and damage with clear notes or photos.
- Separate items that are ready to rent from items awaiting cleaning, repair, or inspection.
- Tell the booking team if a late return or damaged item affects the next order.
Close the handoff
For example, if 10 tablecloths go out and eight come back, record eight returned and two outstanding. If three of the eight need cleaning, only five are ready for the next rental. Close the booking once the remaining items or exceptions have an owner and a next step.
