A rental item can be promised twice even when two events happen on different days. Preparation, delivery, collection, cleaning, and a late return can make their inventory windows overlap.
Check the full time the item is unavailable
Use the period from preparation through return inspection, rather than only the event date. Set a realistic buffer for cleaning and checking equipment before making it available again.
Count usable units, not just owned units
If you own 100 chairs but 10 are damaged and 20 are already reserved during the requested window, only 70 are available. Review maintenance, missing items, and other reservations before confirming a quantity.
Agree on when a quote reserves stock
Decide whether a quote is only a price proposal or a temporary hold. Make that rule clear to the team, record when holds expire, and confirm availability again when the customer accepts.
Recheck every booking change
A date extension, extra quantity, or late return can affect the next rental. Before confirming a change, review the affected equipment and any bookings immediately before or after it.
Keep one shared booking record
Record phone, email, and online requests in the same workflow. Before each pickup, compare the confirmed booking with the physical items being handed over. After return, record damage or missing stock before accepting another reservation.
A quick check before confirmation
- Are the preparation, delivery, and return times recorded?
- Is enough usable inventory available for the entire period?
- Have existing bookings and temporary holds been checked?
- Are kit components and accessories available too?
- Does the team know who is responsible for confirming changes?
