Start with the question your team needs to answer on every quote: how many usable units can we promise for the full rental window?
Choose how to identify each item
Track interchangeable items, such as identical folding chairs, by SKU and quantity. Give individually serviced or high-value equipment a unique asset ID. Record its condition, location, and maintenance history. Track the components of kits separately so a missing cable or stand does not get overlooked.
Separate stock counts from availability
Suppose you own 80 chairs. Six are damaged and 40 are reserved for an overlapping rental. That leaves 34 available, assuming they are at the right location and ready before the next pickup. Count preparation, transit, cleaning, and inspection when checking for overlap.
Record movement at each handoff
- On reservation, record the item, quantity, location, and full time window.
- On pickup, compare the actual count or asset IDs with the booking.
- On return, count again and set aside damaged or incomplete items.
- After inspection, move only ready items back into available stock.
Investigate count differences
Start with fast-moving items and kits. If a shelf count disagrees with your records, review open returns, transfers, and pick lists before adjusting stock. Record why you made the change so the team can spot recurring problems.
