A clear event rental quote tells the customer what they get, when it arrives, and what it costs. It also gives your warehouse and delivery teams enough information to fulfill the order once the customer accepts.
Start with the event and venue
Record the event date, venue address, delivery and pickup windows, and onsite contact. Ask whether the crew needs to use stairs, reserve a loading dock, or finish setup by a specific time. Confirm who handles setup and teardown before estimating labor.
Itemize equipment and services
List each item with its quantity, unit rate, and rental period. Break out services so the customer can see what each charge covers. Here is an illustrative quote for a one-day event. The rates are examples in USD.
- 100 folding chairs × $3 = $300
- 12 banquet tables × $15 = $180
- Delivery to the venue = $90
- Setup labor = $120
- Pickup from the venue = $90
Subtotal before applicable taxes: $780. If teardown is needed, specify whether it is included or quote it separately. Show the amount due to confirm the reservation and the remaining balance with its due date. If you require a refundable security deposit, list it separately and explain when it will be returned.
Check availability before confirming
- Check usable stock for the full window, including staging, transport, and return inspection.
- Check overlapping reservations and temporary holds at the fulfillment location.
- Confirm crew and vehicle availability for the agreed windows.
- State when the quote expires and whether it holds inventory. Recheck availability when the customer accepts.
Hand off the accepted quote
Record the accepted version and use its quantities, venue instructions, and service windows to prepare the pick list. If the guest count changes, confirm stock and labor again, then send a revised quote that shows what changed.
